MAJOR DUTIES: This position is the Administrative Assistant to the Deputy Director, Office of Administration (OA), Executive Office of the President (EOP). The incumbent provides general assistance and guidance to customers of the Deputy Director. Serves as the executive support to the Deputy Director, responsible for screening all incoming telephone calls; for screening and reviewing all mail and correspondence, routing matters for proper handling, tracking matters to ensure compliance with deadlines; establishing and maintaining filing systems; maintaining the Deputy Director's calendar, reviewing, editing and drafting correspondence, and providing assistance on a variety of office management issues. The incumbent of this position has primary responsibility for providing direct support to the Deputy Director by maintaining a working knowledge of the programs, and performing overall liaison activities to assure excellent and effective working relationships with serviced offices, organizations, other Federal agencies and Employees. The incumbent provides a wide range of important, confidential, sensitive and urgent assignments in support of OA. The selectee of this position personally receives telephone and personal inquiries. Ascertains the needs of the inquiry and personally resolves the issue if possible, referring only those of a highly technical nature to the Deputy Director. Additionally, the incumbent will be expected to prepare letters, reports, tabulated material, memoranda, and other material in either rough draft format or in final for signature and staff. The incumbent will be responsible for reviewing outgoing material for acceptable format, grammatical correctness and typographical accuracy, concurrences and assembly. Receives and reviews all incoming mail, establishing controls on action items and providing guidance and follow thorough on specific items. The incumbent will be expected to maintain and keep the Deputy Directors calendar and to schedule appointments based on personal knowledge of the Deputy Director's workload and priorities. Reminds the Deputy Director of appointments and significant matters to be considered before scheduling meetings. Serves as a buffer and acts as a liaison between the Deputy Director and Division Directors and personnel by providing accurate and timely advice on procedures, reports, requirements, and other matters necessary to implement policies, directives, and instructions. MINIMUM QUALIFICATIONS REQUIREMENT: Candidates must have one year of specialized experience which is at least equivalent to the next lower grade level in the Federal Service.
